Salary Range: $25,000 - $29,000/yr (based on experience)

 

Reports to: 

Benefits: Full Time Salary, 3 weeks PTO, and option for Employer Paid Health Benefits after 6 months.

Department:  Cool Sports Facility

Hours: Generally 9:30-6:30pm M-F, will require some weekends and offsite events.

 

The job description below is a Full-time position requiring at a minimum of 40 hours of work per week. The Front Desk Admin is responsible for overseeing the Front Desk, Birthday Parties, Administrative support and customer satisfaction. As well as answer a multi-line telephone system and greet visitors in a timely, pleasant, and professional manner and provide information and assistance to other departments as needed. The Front Desk Admin will work closely with the General Manager, Assistant General Manager, Operations Manager, and Program Directors. It is essential to be regularly available during standard business hours as well as nights and weekends.

 

TYPICAL JOB DUTIES FACILITY ADMINISTRATION:

·         To be fully in-charge of the facility when MODs are not available

·         Greets and directs customers to appropriate areas and provides needed services. Gives friendly, helpful, and accurate responses to individuals seeking assistance.

·         Answer multi-line telephone system, determine caller’s needs, route to the appropriate department, and general inquiries.

·         Assist customers in completing forms, registration, as well as directing them to online registration.

·         Assist Managers and Program Directors in responding to any customers.

·         Maintain Constant check of service standards to assure continuing expected standards of facility service, quality, polices, and practices.

·         Assist in training of Facility staff.

·         Work closely with the Facility directors on marketing, promotions, and advertising of all Facility programming.

·         Receive, sort and forward incoming mail

·         Multitask core functions of the role as well as other work assigned throughout the day

·         Assist with the ordering, receiving, stocking and distribution of office supplies

·         Assist with chores and general upkeep

·         Take on other duties and projects as assigned

·         Assist various departments with special projects as needed.

·         Assist in daily deposits.

Qualifications

·         Will have excellent interpersonal, verbal and written communication skills.

·         Must be a motivated self-starter able to work effectively with all departments with limited supervision.

·         Must have intermediate computer skills in Microsoft Word, Outlook and Excel.

·         Must be punctual, with solid time-management skills.

·         High School Diploma.

·         All applicants must perform duties and responsibilities in a safe manner

 Birthday parties  

·         Answer incoming calls and emails about birthday parties.

·         Attend to guests questions and needs.

·         Walk through, insure party areas are clean before the start of each event.

·         Serve as the point person for each birthday party booking and questions.

·         Prepare Weekend party sheet and trays.

·         Maintain party supply stock.

·         Collecting payments for birthday parties.

·         Work with hourly employees with any changes made to birthday parties. 

OTHER

·         Drive Ice Resurfacer when needed

·         Other duties as assigned

Physical Requirements/Working Conditions: Work is performed in both an office environment and an ice rink environment where temperature variances are necessary and will include regular weekend and evening hours.   Must be able to sustain a fairly steady active physical exertion with some lifting and/or continuous standing, walking, or skating.  Proficient skating skills are required.
